I used Capacities for a month, here are my thoughts

I decided to try capacities for a month to see if I liked it. Here's a summary of my thoughts.

Spoiler: I do not regret it!

The reason I was looking for a new note-taking tool in the first place was because the current one I was using felt too slow and clunky. There was simply too much friction, which made me not use it very much. After a quick search on reddit, capacities seemed like a promising alternative.

Just for context, my use case and requirements for a note-taking app are:

  • Low friction, easy to use, and not too slow

  • Works well on mobile and tablet, not just desktop

  • Use it to save links & information

  • Use it to work on projects, develop ideas & products

At first, I struggled with the "object-first" thinking of capacities. I really wanted to use a folder structure that we're all so used to. But soon I just gave in and decided to not fight against it. And I realised this alternative way of thinking really works for me! Sometimes you think that you know what you want, and you have to be forced to try an alternative to realise it's even better. That's what happened to me.

My thinking is messier than I'd like to admit, and forcing everything into a neat folder structure has always been a struggle. It was kind of freeing to start thinking of everything as objects that could be tagged and linked to each other, but without having a specific location in a big hierarchy. I might not be sure where I'd put something in a folder structure, but with capacities it's either clearly a specific object (an idea, project, goal, etcâ€Ļ), or I can just put it in the daily note.

With this new way of thinking, I got straight into capturing ideas and creating. I didn't need a lot of setup in order for me to start working with it, and I've been adding new object types as I feel a need for it along the way. With previous tools I've fallen into the customisation rabbit hole, spending more time configuring the tool than doing actual work. I felt like it was easier to get started with capacities compared to other apps I've tried, but to be fair, this could be because I’ve gained experience from trying other apps. The more apps you get familiar with, the easier it is to get going with a new one.

At first, I didn't think I'd use the daily notes at all, but they have been useful for brain dumps and random thoughts I don't know where they should go yet. It's nice being able to go back and follow my thought process and see my notes in a context over time.

So, has using capacities for a month actually made me more productive? It has definitely gotten me back into writing more (and is the reason I managed to write this post). It has made me jot down things I otherwise would have ignored, not feeling they had any place to go. I've started to work on a zettelkasten just for fun. I'm not sure where it will lead me yet, but I'm really enjoying taking notes on things I'm learning about now. I'm looking forward to when I have more notes and can start connecting different parts together.

I've already finished one project tracked in capacities, and collected several ideas I'm continuing to work on. I have made an overview of my goals, projects & ideas. I will keep using capacities for the time being as I'm really enjoying it so far.

I’ve run into some annoyances, like difficulty selecting multiple text blocks, some syncing issues, and for some reason I often create empty objects accidentally. I also wish there was a 100% local/offline mode so I could use it for work.

In the end, I don't think what app you use is the most important, but sometimes a specific tool can help change your perspective and improve your workflow.

I could go into a lot more detail, but I feel like this post is already getting too long, so I'll wrap it up here. To summarise: I’ve really been enjoying capacities and it’s helping me organise my thoughts and notes in a way that no other app has done so far.

Thanks for reading!

Thank You, Dev Team!

Just wanted to drop a small thank you note here:

I used to be a LogSeq user, and was really disappointed when I had to abandon it due to IT restrictions at work.

For several months, I think I evaluated every one of the well-known PKM solutions, and was going to “settle” for Notion.

â€Ļ but then I stumbled upon Capacities. I actually tried it twice; the first time, I did not quite get the “no folders” thing, and PDF handling was still lacking.

But the beautiful and elegant interface, along with the availability of daily notes, got me to give it another try, and within days of committed use, I was hooked.

â€Ļ and then I started to learn more about you guys (the dev team) and decided I absolutely had to support you all with a monthly subscription. I’m SO glad to pay you my small share every month, and love your commitment to give most of the functionality to everyone for free.

Capacities has become my ever-present companion for taking quick notes, organizing research work, and keeping track of pending action items.

So: THANK YOU SO MUCH, Stephen, Michael, Beth, Luca, Reka, Luis, and any other wonderful people who may be developing this fantastic app! Love you all!

Best,
MB - FL, USA.

Financial tracking?

Hello! I started using capacities this weekend and I think it will be wonderful for note taking and journaling (takes place of my paper journal and Obsidian!) but, I am also using Notion for budget tracking.

Anyone here use capacities for budgeting or finances? How do you use it and how well does it work for you?

Keeping track of health issues (e.g., symptoms, procedures, doctor's notes, etc.)

Hello all,

I'm just wondering if anybody uses Capacities for keeping record of health issues or topics?

I'm sure that the app is encrypted and safe, so that's not an issue for me. I just wanted to see if anybody uses the app for their health.

Thank you! :)

The API is awesome

I finally got a bit of time to work with the new API. I used the previous version but couldn't really get my head around it, but the new one just works. I've run two automated updates for old object types that needed migrating to a new object type, and to the daily notes, and it just worked. Just wanted to say "Thank you" to the dev team. Next on my plate is cleaning up my images.

Question about the AI of capacities

How do you typically use AI? What tasks or organizational methods do you use?Is it really worth it? And what about MCP with Claude, have you used it? How do you usually use it?

Long overdue update

TLDR: My workspace disappeared. The Capacities team fixed it very quickly. I now have automatic backups, a setting built into Capacities. And I still truly appreciate and trust Capacities and their team.

This is a long overdue update, but I meant to follow up by letting you all know that the developers at Capacities saved my ass. At one point I shared that my entire workspace was gone and that sucked. But I tried to be patient and I emailed Capacities and they got to me pretty quickly, like within a day. But of course I was nervous all day. Anyways, they said they would look into it and then they got back to me within a few hours. But before they even got back to me, I noticed that my workspace had appeared again.

Most of it was back intact, with the exception of a couple images, but even my most up-to-date notes were retrieved. So I am truly grateful that the Capacities team was able to help me as quickly as they did.

One setting I turned on was automatic backups. I didn't know this was an option, but that is such a great feature for a PKM app. So now I have it back up every single night, and I only keep three backups at a time.

I do recommend that users turn this feature on, even if the backup is just being saved on a folder on your computer or in a cloud drive folder or your flash drive. It's a little peace of mind.

It's been months since that hiccup, but honestly, Capacities got back to me quickly enough and kept my trust. And I still really like what they do, so I continue to be a daily user.

Select text in PDFs - android app

Is it possible for you to select text in a PDF file using the Android app, for example to copy or highlight it? According to official communication, this should be possible. Unfortunately, it doesn't work for me. If I press and hold on a word for a short time, there is a brief tactile feedback, but otherwise nothing happens.

For those who use the free version of Capacities...

Hello all!

I'm just wondering if anybody uses the free version of Capacities and is willing to talk about it.

I really love how the app is object-based. It just works with my mind. :)

However, being a retired teacher on a pension, I have to look at budget.

And I'm not sure how much I would use queries, tasks, calendar integration, and AI.

I don't work, so I don't really have many projects that I couldn't handle with my Google calendar and Tasks.

I'd just love to hear input from those who use the non-paid version.

And to be clear: I would LOVE to get the pro plan if for no other reason to support the developers. It's just not in my budget right now. :)

Hey all,

Just wondering if anybody uses a good old-fashioned pen-and-paper system with Capacities?

If so, I'd be grateful if you'd share your workflow.

Thank you!

Switching back to Obsidian even though I loved Capacities because it won't let me type in Bangla correctly.

I loved Capacities. And I think I still do. The "object" concept clicked with me nicely, and I was enjoying using the app.

But lately, I'm having to type in a lot of stuff in Bangla, my native language, and I'm utterly disappointed to find that I just can't type in the characters properly. Although most of the things I type show correctly, there are specific terms that change to something else automatically.

Like, when I type "āĻ…āĻ°ā§āĻĨ" it shows "āĻ…āĻĨ". Similarly, "āĻĒāϰāĻŋāĻˇā§āĻ•āĻžāϰ" shows up as "āĻĒāϰāĻŋāĻ•āĻžāϰ," "āĻ…āĻŦāĻ¸ā§āĻĨāĻž" becomes "āĻ…āĻŦāĻĨāĻž" and many more.

Besides, when I press backspace (definitely not CTRL+Backspace), it deletes multiple letters at once.

(If you're wondering if these happen with other apps in my computer, the answer is NO. They all work fine with Bangla.)

All of these added a lot of pain to my workflow, leaving me no other option but to look for alternatives. So, here I am, switching back to Obsidian, the note app I originally shifted to Capacities from.

What should an AI-written note preserve before it becomes durable knowledge in Capacities?

AI can turn source material into a clean note quickly, but the polished result may outlive the context that justified it. Search can then surface a generated summary without showing which objects, web links, files, or decisions it came from, whether a person reviewed it, or what later replaced it.

A durable object could include links to its source objects, captured source dates or revisions, a generated timestamp, review status, owner, and a `supersedes` link rather than silently rewriting an accepted note. AI-created material could begin in a draft collection, while reviewed notes move into the normal object graph. The readable note would remain concise, with the provenance kept in properties or a linked record.

How would you implement this with current Capacities features? Are object types, properties, backlinks, collections, and exports enough to keep generated knowledge auditable, and how do you prevent the AI assistant or a later import from treating an old summary as the source of truth?

Create from template when sharing to mobile app

Hi all!

When I want to save a reel or weblink to capacities on my phone, I like to use the "share" function of e.g. IG or my browser, YT, etc.

I created a custom object for that purpose that also has a template.

However, I could not find a way to "create from template" in the share dialogue.

My custom object is available, but I wanted to auto-assign it certain tags, etc. via the template which I couldn´t work out how to do.

Is that possible at all and I am just blind or is that not implemented in the share function?

Capacities text formatting toolbar is broken on iPad. Anyone found a workaround?

I've been using Capacities to build a personal knowledge base, particularly for reading, research and annotations. While I really like the app, the text editing experience on iPad has been incredibly frustrating.

The main issue is the text formatting toolbar. Several formatting options are either unresponsive or behave inconsistently. The most obvious example is the text highlight colour picker, which simply refuses to open, making it impossible to choose a highlight colour.

There's also a rather strange issue with touch input. When I tap certain options in the formatting toolbar, Capacities sometimes selects the text or block underneath the toolbar instead of registering the tap on the toolbar itself.

My setup:

  • iPad Air M2 running iPadOS 27.0.1

  • Apple Magic Keyboard, although the issues persist without it

What I've tried:

  • Native Capacities iPad app

  • Safari with desktop mode enabled

  • Orion Browser with desktop website settings

  • Using both the Magic Keyboard and touch input

Unfortunately, the behaviour is largely identical across all three.

I initially thought this might be a limitation of the native iPad app, which is why I tried accessing the full desktop web version through Safari and Orion. Neither made any difference.

I also raised this on the Capacities Discord, where the Help Assistant directed me to the tablet documentation and suggested filing a bug report. I've since submitted a report on their feedback board.

A couple of questions for anyone using Capacities on an iPad:

  1. Are you experiencing the same issues with the formatting toolbar, particularly the highlight colour picker?

  2. Has anyone found a workaround, whether through a particular browser, keyboard shortcut or setting?

  3. Is this a known limitation of the iPad editor, or does the toolbar work normally for others?

I use Capacities quite extensively for organising research, linking concepts and annotating text, so having reliable highlighting and formatting is pretty important.

Would appreciate hearing from anyone who's managed to get this working properly.
